Connecting Gmail on Google Workspace (admin approval)

Authorize Searchlize in your Google Workspace Admin console to connect Gmail with one click.

Connecting Gmail on Google Workspace

If your company uses Google Workspace, your administrator can authorize Searchlize once for the whole organisation. After that, anyone in your domain connects their mailbox with a single click — no App Password needed.

Personal @gmail.com accounts: this page doesn't apply to you. Consumer Gmail has no Admin console. Use the App Password method instead.

Why this step exists

Google requires that third-party apps accessing Gmail are either verified by Google, or explicitly trusted by your own Workspace administrator. Searchlize is not on Google's public verified list for Gmail sending, so your administrator authorizes it directly. This is a standard Google Workspace control — your admin stays in charge and can revoke access at any time.

Step 1 — Copy the Searchlize Client ID

Open mailbox settings and copy the Client ID shown next to the Gmail option. It looks like:

1234567890-abcdefghijklmnop.apps.googleusercontent.com

Step 2 — Ask your admin to trust the app

Send your administrator these instructions:

  1. Open the Google Admin console.
  2. Go to Security → Access and data control → API controls.
  3. Click Manage third-party app access.
  4. Click Configure new app → OAuth App Name or Client ID.
  5. Paste the Client ID from Step 1 and search for it.
  6. Select the app, choose which organisational units it applies to, and set access to Trusted.
  7. Save.

Step 3 — Connect the mailbox

Once your admin confirms the app is Trusted:

Go to mailbox settings

  1. Click Connect Gmail.
  2. Sign in with your Workspace account and approve the permission.

Searchlize only requests permission to send email on your behalf (gmail.send). It cannot read your inbox, threads, or contacts.

Troubleshooting

"This app is blocked" Your administrator hasn't marked the app as Trusted yet, or you're signing in with a personal @gmail.com account instead of your Workspace account.

"Access blocked: this app has not been verified" Same cause — the app needs to be allowlisted in your Admin console (Step 2).

My admin won't approve it No problem — use the App Password method instead. It works without any admin action.

Revoking access

Your administrator can set the app back to Blocked in the same screen at any time, which immediately cuts off access for the whole domain. You can also disconnect a single mailbox in Settings → Sending mailbox.
